The Rate Sheet Rebuild: Pricing Studio Time So It Survives Slow Months

A method for finding the floor under your studio rate, building tiers above it, and holding that line when the calendar goes quiet.

Every creative business has a slow month eventually. The studios that survive them are the ones whose pricing was built for the whole year, not just the busy season.

Most studio rates aren’t built at all. They’re borrowed. Someone checks what the studio across town charges, shaves a little off, and calls it a rate sheet. That number has nothing to do with what the room costs to keep open, which means nobody knows whether a booking made money or lost it.

This is the method for rebuilding a rate sheet from the inside out. It isn’t our numbers. Your rent, your market, and your hours are different. The math isn’t.

Start with the real monthly cost

Rent is only the visible number. The real cost of a studio is everything that has to be paid whether a single session books or thirty do.

Add insurance, utilities, internet, software subscriptions, cleaning, repairs, and the backdrop paper that gets torn and replaced. Add payment processing fees, and the commission any listing platform takes on the bookings it sends you. Add the time it takes to answer inquiries, confirm bookings, and reset the room, because that time is either yours or someone you pay.

Then add the one everyone forgets: gear amortization. A strobe that costs $2,000 and lasts five years costs about $33 a month. That’s true whether it fires ten thousand times this month or sits on a shelf. Do the same for every light, modifier, stand, and computer the studio depends on.

Write the total down. It will be higher than the number you’ve been carrying in your head. It always is.
